User groups in Outcome are used two primary purposes:
- Reporting
- Displaying contextual help to different users based on their group
Let's look at an example of each use case.
Reporting
Let's say that you have two groups "Accounting" and "Sales". You want to know a few things:
- Are both groups using the help materials you are providing?
- Which articles are each group viewing?
- Which checklists are they completing?
When could this be useful? Say for example you are trying to improve the efficiency of your organization and want to address some mistakes that are regularly made in both Accounting and Sales. You create articles and checklists for both groups but notice that Accounting is still making the same mistakes while Sales has improved.
By filtering your reports based on user group you can get some answers as to what is really going on. Is Accounting viewing the articles and checklists you created or are they ignoring them? If they aren't using them then figure out why. If they are and they are still making mistakes then you may need to improve the content of your articles and checklists.
Also, can you see that Sales is using your articles and checklists? If so then you can correlate their improvement to the help articles and checklists you have created. This can help you make the case to other departments that they should be using the training resources you have provided.
Contextual Help
A second use for User Groups is to display different content to different users based on the groups that they belong to.
Let's say that you have two sales groups. One sells primarily to Enterprise customers while the other sells to SMBs. When they are entering a new Opportunity in your CRM they need to capture different information. You could have separate articles/checklists for each group. When they come to the Opportunities page of your CRM they would only see the articles that apply to them.
